A grammar checker is software that reads a piece of writing and flags places where it appears to break the rules of a language: a subject that does not agree with its verb, a comma where a period belongs, a sentence that trails off without a main clause. The good ones go further and suggest how to fix the problem. The best ones explain why.
That is the whole idea in one sentence. But the sentence hides a lot of machinery, and the gap between "flags mistakes" and "understands what you meant" is where most of the interesting questions live. If you are a teacher deciding whether to let students use these tools, or a parent watching one rewrite half of a homework assignment, it helps to know what is actually happening under the hood.
What a grammar checker is really doing
Start with the thing every grammar checker has to solve: it has to figure out the structure of a sentence before it can judge whether that structure is correct. A human reader does this without noticing. You see "The list of items are on the desk" and something itches, because you know "list" is the subject and "are" is reaching past it to agree with "items." A computer has to be taught to find the subject in the first place.
So the first job is parsing. The software breaks the text into words, tags each word with a part of speech (noun, verb, adjective, and so on), and then tries to map the relationships between them: which noun is the subject, which verb is the main verb, which clause depends on which. Only after it has that map can it start checking rules. Subject-verb agreement, pronoun agreement, verb tense consistency, comma splices, sentence fragments. These are all checks that depend on knowing the sentence's skeleton.
That is why grammar checkers sometimes make confident, confidently wrong suggestions. When the parse is off, every rule built on top of it is off too. A sentence with an unusual structure, a long interruption between subject and verb, or a deliberately fragmented style for effect can fool the parser, and the tool will helpfully recommend you break something that was fine.
The two families: rules and statistics
Under the hood, grammar checkers come from two broad traditions, and most modern tools blend them.
The older approach is rule-based. Linguists and engineers write out the grammar of a language as explicit rules: if a singular subject is followed by "are," flag it. If a sentence has no finite verb, call it a fragment. Rule-based systems are predictable and easy to explain, which is a real virtue in a classroom. When the tool says "this is a comma splice," you can point to the exact rule. The downside is that human language has a near-infinite number of exceptions, and writing a rule for every one of them is a losing battle. Rule-based checkers tend to be precise but narrow.
The newer approach is statistical, and now mostly powered by machine learning and large language models. Instead of being handed rules, these systems are trained on enormous amounts of text and learn what correct writing tends to look like. They do not "know" the rule about subject-verb agreement in any explicit sense. They have simply seen "the list is" far more often than "the list are," and they flag the unlikely one. This approach is remarkably good at catching subtle, context-dependent problems that no rulebook anticipated. The trade-off is that it can be a black box. When it suggests a change, it often cannot tell you which rule you broke, because there was no rule, only a pattern.
Most tools you will actually encounter, from a word processor's built-in checker to a dedicated writing assistant, combine both. A layer of hard rules catches the clear-cut errors, and a statistical or AI layer handles tone, word choice, and the fuzzier stuff that rules cannot reach.
The different types you will run into
It helps to sort grammar checkers by where they live and what they are trying to do.
Built-in checkers. The squiggly red and blue lines in your word processor or email client. These are convenient, free, and always there, but they tend to be conservative, catching obvious typos and a handful of grammar errors while missing nuance.
Dedicated writing assistants. Standalone tools and browser extensions whose entire purpose is checking and improving writing. These usually go well beyond grammar into style, clarity, tone, and concision. They are the most powerful of the bunch and also the most opinionated, which is both their strength and the thing to watch.
Style and readability checkers. A narrower category focused less on correctness and more on whether your writing is clear and easy to read. They flag long sentences, passive voice, jargon, and tangled phrasing. Strictly speaking these are not grammar checkers, but they often ship in the same package.
Language-learning checkers. Tools aimed at people writing in a second language, which tend to explain errors more thoroughly and forgive the kinds of mistakes a native speaker would never make. The teaching is the point, not just the fix.
The line between these categories is blurry, and most popular products try to be several of them at once. The useful question is not "which type is this" but "what is it optimizing for, and does that match what I need."
A few concrete examples
Consider the sentence: "Each of the students have turned in their essay." A solid grammar checker catches that "each" is singular and wants "has." A weaker one slides right past it, because "students" sits closer to the verb and the parse gets lazy.
Or: "Their going to the library after they finish there homework." Here the errors are homophones, not grammar in the strict sense. "Their" should be "they're," and "there" should be "their." A spell checker alone will not catch these, because every word is spelled correctly. It takes a checker that reads context to know which word you meant.
Or the comma splice: "The bell rang, the students left." Two complete sentences glued together with a comma. A rule-based checker nails this one cleanly and can tell you exactly why, which makes it a genuinely good teaching moment.
These examples show the range. Some errors are mechanical and a rulebook handles them perfectly. Others require understanding meaning, and that is where the statistical and AI-driven tools earn their keep.
Common misconceptions
A grammar checker proves writing is correct. It does not. It flags what it can detect and stays silent about everything else, including errors it missed and good prose it would have wrongly changed. A clean report means the tool found nothing it recognized, not that the writing is flawless.
The suggestions are always right. They are not, and treating them as gospel is how students end up "correcting" sentences that were fine. A suggestion is a prompt to think, not an order to comply. The writer still has to decide.
A grammar checker writes for you. This is the big one for classrooms. Checking grammar and generating text are different jobs. A grammar checker that corrects your subject-verb agreement is not writing your essay any more than spell-check is. It becomes a problem only when a tool crosses from fixing your words into producing them, which is a real and growing overlap worth naming explicitly with students.
It can replace learning the rules. A checker that fixes errors silently teaches nothing. One that explains them can genuinely help, but only if the writer reads the explanation instead of clicking "accept all."
How to use one well
The healthiest way to use a grammar checker, especially in a learning setting, is as a second reader, not a final authority. Write your draft first, in your own voice, with your own mistakes intact. Then run the checker and treat each flag as a question: is this actually wrong, and if so, why? When the tool explains the error, read the explanation. When it does not, look the rule up. The goal is to need the tool a little less each time.
For teachers, the practical move is to make the process visible. Ask students to keep their original draft alongside the corrected one, or to note which suggestions they accepted and which they rejected and why. That turns the tool from a shortcut into evidence of thinking, and it keeps the line between "the tool fixed my grammar" and "the tool wrote my essay" bright and honest.
A grammar checker is a good listener with a narrow vocabulary. Use it for what it hears well, and keep your own judgment for everything else.
